Our verdict
MyCase fits generalist small firms that want case management, billing, native IOLTA/trust accounting, intake, and client communication in one system without stitching together add-ons. It scores well on ease of use and support, and trust accounting is a genuine built-in strength. Before buying, verify current per-user pricing and annual-commitment terms directly (third-party trackers still show outdated figures), confirm that LEDES/e-billing and court-rules calendaring depth match your practice area, weigh the extra-cost MyCase Accounting add-on for full business accounting, and note the weak mobile-app ratings and the export gap where documents and invoices are excluded from the self-serve backup.
In depth: how MyCase handles the matter lifecycle
Intake begins in MyCase's lead-management/CRM layer (a Pro-tier feature, not in the entry Basic plan): customizable web intake forms by practice area feed a lead pipeline, prospective-client case files, and e-signature, with conflict-check tracking surfaced on the Advanced tier. Won leads convert into matters, MyCase's documented system of record for cases, contacts, companies, custom fields, tasks, and workflow/event automation. Calendaring covers deadlines with Google Calendar and Outlook two-way sync and automated event creation; native court-rules/jurisdiction-based deadline calculation is thinner than dedicated docketing tools and typically leans on partner integrations, so rules-based calendaring should be verified. Billing is a core strength: billable time and expense capture, batch and automatic invoice generation, payment plans, and integrated LawPay/MyCase Payments (PCI/IOLTA-compliant); a separate MyCase Accounting add-on ($39/user/mo) plus QuickBooks integration extend into business accounting. Trust accounting is genuinely native, with trust ledgers, IOLTA compliance, and documented three-way reconciliation-a differentiator versus tools that outsource trust to integrations, and it is available from the Basic tier. Documents live in centralized cloud storage with client-portal sharing, internal templates, and MS Word-based document automation for fee agreements, discovery, and trust/will templates; versioning depth is less clearly documented. Reporting includes customizable financial reports plus case-performance and billing insights. Security relies on AWS hosting, 256-bit AES at rest and SSL in transit, nightly S3 backups, role-based permissions, and audit trails, with 2FA available and SSO via SAML partners; the 8am trust center at trust.8am.com documents a current SOC 2 Type 2 attestation (available on request), even if the marketing security page does not detail it. Export is self-serve via Settings > Import/Export: a full backup produces 16 CSV files spanning contacts, cases, tasks, time entries, and financials including trust and account activity-but documents and invoices are excluded and must be downloaded manually, with one backup permitted per day. Onboarding is a real asset: free guided data migration, a dedicated onboarding manager for eligible firms, live weekly training, and phone/chat/email support, consistent with strong ease-of-use ratings. Honest gaps: extra-cost full accounting, communication/intake features gated behind the Pro tier, limited native court-rules automation, and poorly rated mobile apps.
MyCase scorecard
Each product is scored against the same nine-criterion rubric. Points reflect the depth of documented capability in each legal workflow, not user sentiment (which we track separately below).

Strengths and cautions
Strengths
- All-in-one platform covering intake, matters, billing, trust, documents, and client communication
- Native three-way trust/IOLTA accounting built in rather than via a third-party integration
- Client portal in every plan; e-signature and two-way texting included from the Pro tier up
- Free guided data migration and onboarding plus phone/chat/email support included
- Strong ease-of-use and support ratings on Capterra and G2
- Same-family LawPay payments give tight, compliant billing-to-payment flow
Cautions to validate
- Full business accounting is a paid add-on ($39/user/mo) on top of the plan
- Court-rules/deadline automation is limited natively and leans on partners
- Self-serve export excludes documents and invoices and is capped at one backup per day
- Mobile apps are poorly rated (Google Play ~2.9/5) and described as glitchy
- Users report steady annual price increases; e-signature, intake/CRM, and texting are gated behind Pro/Advanced
- SOC 2 Type 2 is attested via the 8am trust center (trust.8am.com) on request rather than stated on the public marketing security page

Data portability questions to ask
- Can the firm obtain a complete export before signing and again after cancellation?
- Which documented formats preserve contacts, matters, relationships, custom fields, notes and communications?
- Are original documents, attachments, versions, calendar records, invoices, payments and trust ledgers included?
- Are audit history, permissions and stable record identifiers preserved?
- What service, fee, delivery time and post-termination access apply?
Run the same legal demo scenarios
- New matter intake and conflict check: Submit a realistic web inquiry, detect a possible conflict, capture the resolution, send an engagement letter and open the matter without re-keying contact data.
- Court deadline change: Move a court date and show how dependent deadlines, assignments, notifications and the audit trail change. Confirm that rules-based calculations are jurisdiction-appropriate.
- Time to invoice and payment: Enter time from desktop and mobile, apply a rate arrangement, review a pre-bill, issue an invoice and record an online payment.
- Trust and IOLTA reconciliation: Receive a retainer, allocate funds by client and matter, apply earned funds, reconcile the account and produce the supporting ledger without commingling.
- Complete export: Export contacts, matters, custom fields, notes, communications, documents, calendar data, time, invoices, payments and trust ledgers in documented, usable formats.
